We collect information in two main contexts: through our public marketing website and within the RTS web application.

When an agency subscribes to RTS, we process data entered into the system on behalf of the agency ("Customer Data"). This may include:

• Account & User Credentials: Names, email addresses, roles, and login credentials for designated agency administrators, rangemasters, and staff.
  
• Personnel & Qualification Records: Officer names, agency identification details, firearm assignments, training course attendance, inspection logs, and qualification scores.
  
• Equipment & Inventory Information: Serial numbers, makes, models, calibers, maintenance and repair histories, and inventory logs for agency firearms, ammunition, and parts.
  
• Audit & Activity Logs: Automatic tracking of user activities within the application (e.g., entries, edits, archives, and timestamped actions) for compliance and auditing purposes.
  

We use the collected information solely for legitimate business purposes and to fulfill our service commitments:

• To Provide and Maintain the Service: Account management, user authentication, operational tracking, and delivery of core software features.
  
• To Maintain System Integrity & Transparency: Generating administrative audit logs and maintaining accurate records of edits, additions, and historical changes made by authorized agency users.
  
• Communication & Support: Responding to inquiries, processing demo requests, providing customer support, and sending operational updates or service notices.
  
• Security & Auditing: Monitoring for unauthorized access, defending against technical threats, and verifying system stability.
  
• Website Analytics: Improving our public website layout, content, and user interface based on aggregated traffic insights.
  

We do not sell, rent, or trade personal or agency data to third parties. We may disclose information only in the following limited circumstances:

• Service Providers & Subprocessors: We may engage trusted third-party vendors (such as secure cloud hosting providers, database managers, and customer support tool providers) to support software delivery. These providers are strictly bound by confidentiality obligations and are prohibited from using your data for any other purpose.
  
• Compliance with Law & Official Directives: We may disclose information if required to do so by law, court order, or valid legal process, or if necessary to protect the rights, property, and safety of RTS, our users, or the public.
  
• Business Transfers: If Armed Profession Consulting, LLC undergoes a merger, acquisition, or asset sale, customer information may be transferred as a business asset subject to standard confidentiality protections.
  

• Ownership: The agency retains full ownership of all officer, firearm, training, and inventory data uploaded or entered into RTS.
  
• Role as Data Processor: RTS acts as a data processor (or service provider) acting upon the instructions of the subscribing agency. RTS does not use agency operational data for commercial advertising or external profiling.
  

We employ administrative, technical, and physical safeguards designed to protect sensitive agency records and personal data against unauthorized access, disclosure, alteration, or destruction. Key measures include:

• Role-Based Access Controls: Restricted access based on agency-defined permissions and user roles.
  
• Encryption: Data transmitted to and from the RTS platform is encrypted using industry-standard Secure Sockets Layer (SSL) / Transport Layer Security (TLS) technology.
  
• Audit Logging: System-wide logging of administrative actions to maintain data accountability and integrity.
  

While we take reasonable steps to secure your data, no internet-based service or storage system can be guaranteed to be 100% secure.

• Customer Data: We retain agency qualification, training, and equipment records for as long as the agency maintains an active subscription, or as required by applicable law enforcement record retention schedules.
  
• Website Enquiries: Contact form submissions and demo inquiries are retained for as long as necessary to fulfill the request and conduct ongoing communication.
  

Upon termination of an agency subscription, we provide mechanisms for data export or deletion in accordance with our agreement with the agency and applicable legal requirements.

Depending on your jurisdiction, you or your agency may have rights regarding your personal information, including the right to request access, correction, or deletion of personal details.

• Officer/Personnel Records: Because RTS processes data on behalf of subscribing agencies, individual personnel seeking to access or update their records should direct their request to their agency's Rangemaster or system administrator.
